This data protection declaration only applies to the central career portal of Hanseatische Gesellschaft für Verlagsservice mbH, i.e. to all content on the website www.hgv-online.de ("website"). The data protection declaration does not cover the websites linked on our site.

Data protection is a matter of trust and your trust is important to us. The protection of your privacy is therefore very important to us. To ensure that you feel safe when visiting our websites and submitting your application, we strictly observe the statutory provisions and would like to inform you below about how we handle your data. We want you to know when we collect and store which data and how we use it. In this data protection declaration, we therefore inform you about what information we collect during your application via our applicant portal and how it is used.

2) Personal data

Personal data is information about factual or personal circumstances of an identified or identifiable natural person. This includes, for example, the IP address you use.
Statistical data that we collect, for example, when you visit our website and that cannot be linked to you personally are not included here. For example, these are statistics about which of the contents offered on the website are particularly popular or how many users visit certain sub-pages. The use of personal data by us takes place only within the framework of these provisions and is governed by the provisions of the EU General Data Protection Regulation, the Federal Data Protection Act and the Telemedia Act. All data protection regulations are strictly observed.

3) Collection and processing of personal data when visiting the website

When you visit our website, our web servers temporarily collect and store technical information (so-called log files) that your browser transmits to us: the domain name or IP address of your computer, the client's file request (file name and URL), the http response code, the date and time of access. The data collected is used for data security purposes, in particular to defend against attempted attacks and to stabilise operational security, and for statistical evaluations. They are deleted or anonymised after seven days at the latest. In the case of anonymisation, the IP addresses are changed in such a way that the individual details about personal or factual circumstances can no longer be assigned to a specific or identifiable natural person or can only be assigned to a specific or identifiable natural person with a disproportionate amount of time, cost and labour. The log files are neither used to create individual user profiles nor passed on to third parties.

In order to display the Open Sans font, the IP address of your computer is collected by Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043 USA, hereinafter referred to as "Google" as an independent responsible party.

4) Collection of personal data upon application

So-called personal data over and above point 3 is not collected when you visit our website, unless this information is expressly entered or transmitted by you as part of the application process (for example in attached certificates, CVs or similar).
We usually ask you for the following personal information in the application process: Salutation, first name, last name, title, address, telephone number, e-mail address, date of birth, qualification, earliest start date, salary requirement as well as cover letter, CV and references. The provision of this information, with the exception of date of birth and references, is mandatory in order to enable your application to be processed.

5) Use and disclosure of personal data

The personal data you enter in the online application system will be collected, processed and used by HGV exclusively for the purpose of processing applications and filling vacancies. HGV stores and processes your data confidentially in accordance with the applicable data protection regulations. At HGV, job placements are made in cooperation between the HR department and the relevant specialist department/management.

6.) APPLICATION FOR AN ADVERTISED POSITION

When you apply for a specific job advertisement, you provide us with your personal data. This data is generally only available to the HGV that has advertised the job. In addition, there is only the technically necessary and unavoidable access possibility of the hoster and in particular the system administrators there, who however only access the data to the necessary extent if technically necessary. Access by other bodies within HGV is excluded.

6.1 UNSOLICITED APPLICATION

In contrast to the application for an advertised position (see point 6), you provide us with your personal data in a speculative application for consideration for different positions. It is therefore possible that your documents will be forwarded to several departments in addition to being processed by the HR department. If you do not wish this to happen, please inform us of this within the scope of your application or afterwards at the contact address stated in section 1, for example by e-mail.

6.2 ADMISSION TO A POOL

If you have expressly consented to this as part of the application process, we will include you as an applicant in an applicant pool so that we can consider you for future positions if we have not found a suitable position after the application process has been completed.
Your personal data and documents will be stored in the applicant pool for a period of six months and checked for a match with new positions. Of course, this does not affect your rights under section 3.5 (in particular to delete your data at any time).

6.3 CONSENT FORM.

By submitting your application, you declare your express consent to your data being stored, transmitted and used within HGV as part of the application procedure described above in accordance with this data protection declaration and in compliance with the requirements of the EU Basic Data Protection Regulation and the Federal Data Protection Act.

6.4 RIGHT OF REVOCATION AND DELETION OF YOUR PERSONAL DATA

You have the right to review and correct any of your personal data stored in our applicant system. You can also withdraw your consent to the use of personal data at any time.
In the event of a speculative application, applications for advertised positions at HGV and inclusion in our pool of applicants, please send these to the address given under point 9.
At your request, we will delete your personal data at any time.

7) Safety

To secure your personal data, the entry of your data in the online form is SSL-encrypted.
However, you agree that the confidentiality of the information transmitted is not guaranteed if we or you make contact by e-mail outside the applicant management system. In particular, the content of e-mails may be viewed by third parties under certain circumstances. The same applies if your application is forwarded to participations by e-mail.

8) Your rights

You have the following rights in relation to personal data relating to you:
